Quote to Payment

The continuous document flow in divine finance.

The Document Flow

Offer → Order Confirmation → Delivery Note → Invoice → Payment. Each step transfers data from the previous document, ensuring no duplicate entries.

Create Offer

1

Open Offers

Section Offers — “New Offer”.

2

Select Customer

Select an existing CRM contact or create a new one.

3

Enter Items

Add products/services from the catalog or enter them freely; quantities, prices, tax rates.

4

Preview & Send

Review the PDF preview and send it to the customer via email.

5

Continue

Convert an accepted offer into an order confirmation/invoice with a click.

Create an Invoice

In just a few steps, create a complete, numbered invoice with a PDF, using a customer, items, and a template.

1

Select Customer

In the Outgoing invoices section — 'New Invoice'; search for and select a customer.

2

Add Items

Import products/services from the catalog — prices and tax rates are applied automatically.

3

Title & Payment Terms

Assign an invoice title and set payment terms (e.g., 14 days); select a template with a live preview.

4

Create

Click 'Create Invoice' — the next invoice number will be assigned and the PDF generated.

Customer Prices & Terms

Under Conditions, assign each business customer their own prices and payment terms — the foundation for quotes, invoices, and the order link.

1

Create Price List

Create a price list for each customer group (e.g., 'Gastro-Partner' for regular customers).

2

Set Quantity Tiers

Define quantity tier prices per product — fixed unit price or percentage discount.

3

Assign Customers

In the Customer Terms tab, set the price list, payment term, cash discount, and credit limit for each customer.

Follow-up Documents

  • Order Confirmation — confirms the order with the customer.
  • Delivery Note — documents the delivery.
  • Invoice — generates the claim; numbers follow your numbering sequence.
  • Payment — Record incoming payment or automatically assign it via bank reconciliation.

AIRIS Sales Autopilot: A Single Sentence Fills the Pipeline

In the chat, tell AIRIS: 'Fill my pipeline: insurance brokers within 20 km of Deggendorf, maximum 5' — AIRIS identifies real businesses in the vicinity, adds them as CRM leads (DivineProspect category), and creates a deal for each lead in the first pipeline stage, plus a 'First Contact' task, due in three business days.

Duplicates and countries with cold outreach prohibitions are skipped for valid reasons; no communication is sent in the process. With 'Give me the selling points for your industry,' AIRIS also provides the conversation guide: competitor categories, unique selling points, and what we deliberately do not promise.

TIP: Work from the Catalog

Maintain recurring services as products (see “Products”). Items can then be inserted with the correct price and tax rate in one click.
