From the room plan to the invoice — in one system.
Reservations, own booking page, portal calendar, guest account, tourist tax, guest registration form, and cash register work together seamlessly: The guest books on your page, the restaurant charges to the room, and at check-out, the invoice is generated with the recipient, correct tax rate, and tourist tax.
Occupancy in the portal, invoice in Word, tourist tax in a calculator.
Everything a small property needs every day.
For guesthouses, B&Bs, inns, and apartment buildings with up to around 30 rooms in Austria and Germany, with or without a restaurant.
Occupancy calendar and reservations
↳ Who sleeps in which room and when is recorded in the book, on the portal, and in your head. Seasonal prices are calculated manually.
→ An occupancy calendar for all rooms: Clicking on a free day creates the reservation. Each reservation progresses from inquiry to confirmed and checked-in to checked-out. A room cannot be confirmed twice for the same night. The price applies per night within the season in which the night falls; room categories range from single room to apartment.
Own booking page
↳ Direct bookings arrive via phone and email. Guests cannot see what is available, and every inquiry costs time.
→ A booking link without registration: The guest sees the available month per category with the price, and the system suggests the smallest suitable room. The inquiry is immediately entered into the occupancy calendar; you receive an email and a notification, and the guest receives an acknowledgment of receipt in their language. Only when you confirm is the room occupied, and the guest receives the confirmation. The page displays the price including VAT, the tourist tax, and the data protection and cancellation policy.
Portal calendar via iCal with conflict protection
↳ Booking.com, Airbnb, and your own reservations are unaware of each other. Double bookings are only discovered upon arrival.
→ For each room, an export calendar for the portal and an import of the portal calendar, synchronized hourly. If a portal booking overlaps with a direct booking, DivineMind only creates it as a request with a conflict marker and notifies you via bell and email. iCal only transmits occupied or free status: no prices, no quotas, no guest data. This is not a channel manager.
Invoice at check-out with recipient
↳ Business travelers require an invoice addressed to their company, including the address and VAT ID. An invoice from a notepad is insufficient for this.
→ At check-out, select a contact from the CRM or enter the company, address, and VAT ID. Above the threshold for small-value invoices, DivineMind requires the address. The invoice includes accommodation, meals, items from the guest account, and tourist tax, and automatically deducts any deposit. It is created as a draft in the invoicing module and released there.
Tax rates per country
↳ Accommodation, breakfast, and beverages have different tax rates, and these vary between Austria and Germany.
→ The rates are based on your company's country: in Austria, accommodation is 10% and the standard rate is 20%; in Germany, they are 7% and 19%. Breakfast is listed as a separate item on the invoice; in Germany, it is divided into food (7%) and beverages (19%). Half board with beverages is also divided into food and beverages; you set the proportion yourself.
Tourist tax as a pass-through item
↳ Per person per night or as a percentage, children exempt or not, with or without breakfast: The tourist tax varies in every municipality.
→ You set the mode, rate, and age limit for children; there is a template for Vienna. On the invoice, the tourist tax is listed as a separate item with its calculation basis. In Austria, it is a pass-through item without VAT. In Germany, you choose whether the guest owes the levy according to the local ordinance. For settlement with the municipality, the monthly tourist tax list is available as a PDF; reporting and payment are handled by you as before.
"Charge to room" from the cash register, with signature
↳ Dinner, bar, and minibar charges end up on scraps of paper. At check-out, half are missing, and the guest asks what they signed for.
→ In the cash register (RKSV), the server posts the receipt to the guest account with "Charge to room." The button is only active after the guest has signed on the device. Minibar and extras are booked directly in the guest account. The invoice includes an appendix with all signatures as a PDF. Bar or card payments at reception are processed through the cash register: receipt with signature, invoice paid, tourist tax as a separate cash register item.
Deposit with payment link
↳ Deposits are requested via bank transfer, tracked, and manually deducted from the final invoice.
→ The deposit invoice (30% or a custom amount) is generated from the reservation. With "Send to guest (PDF + payment link)", the guest receives the invoice and a link to pay via your payment account with Mollie. The deposit is deducted as a separate line item on the final invoice.
Meals and breakfast list
↳ The kitchen doesn't know in the morning how many guests will have breakfast and who will have half board in the evening.
→ Per reservation: no meals, breakfast, half board, or full board. The breakfast list shows only guests with breakfast, and the overview counts "Breakfast tomorrow morning" and "Dinner tonight (HB/FB)". Meals are listed as a separate item on the invoice with the appropriate tax rate.
Guest registration form for completion and signature
↳ The guest registration form is copied from a template, missing numbers and mandatory fields.
→ For Austria, the guest directory form according to Annex A of the Guest Directory Ordinance with sequential number, gender, travel document, and accompanying persons. For Germany, the special registration form according to § 30 BMG. Both are available as PDFs for completion and signature. DivineMind does not handle electronic reporting to municipalities or authorities.
Housekeeping and reports
↳ After check-out, no one knows which room needs cleaning. The extent to which the property was occupied is only revealed by the tax advisor.
→ Upon check-out, the room is automatically marked as "to be cleaned," and the team receives a notification. On the Housekeeping page, accessible even via a mobile browser, tap "Clean"; the name and time are saved, and rooms can be blocked. The reports show occupancy rates, average daily rate (ADR), RevPAR, overnight stays by country of origin, and the monthly tourist tax list per month.
AIRIS behind the approval button
↳ An availability inquiry in the evening remains unaddressed until the next day.
→ With the AI assistant AIRIS (included in the €999 package), you can ask in the chat what is available, have a reservation created as a request, or view the day's activities in the property. AIRIS only confirms, checks in, checks out, posts charges, creates guest forms, and processes deposits if you have approved it via the autonomy button; otherwise, it presents the step for you to complete. If it's unclear which reservation is meant, AIRIS will ask for clarification.

Frequently Asked Questions
Which properties is DivineMind built for?+
For guesthouses, B&Bs, inns, and apartment buildings up to around 30 rooms. Not included are a channel manager with prices and availability, online check-in, rate plans with minimum stay, and electronic guest registration with the municipality or authority. Those who need this are better served by a comprehensive hotel management system.
Does it work with Booking.com and Airbnb?+
Yes, via iCal: For each room, you provide the portal with your export address and subscribe to the portal's calendar. The synchronization runs hourly and only transfers occupied or free status. Overlaps are reported, not double bookings. You continue to manage prices and availability in the portal.
How is the tourist tax calculated?+
As you set it for your municipality: per person per night or as a percentage of the room price excluding breakfast and VAT, with an age limit for children. A template is provided for Vienna. The rates are municipal or state law; please check the rate for your location.
What is the registration number?+
Since May 20, 2026, EU Regulation 2024/1028 on short-term rentals applies. Where your municipality assigns a registration number, enter it per property or apartment. DivineMind will display it on the booking page and print it on every invoice.
What does DivineMind cost for a hotel?+
DivineMind costs €749 per user per month, with the AI assistant AIRIS €999, plus VAT respectively. The hotel module and the cash register (RKSV) are included at no extra charge.
Where is our data stored?+
In the EU, in Frankfurt and Berlin. Signatures and guest forms are private and only visible to logged-in users of your property. The interface is available in 30 languages.
