Incoming Invoices

Record, review, and approve supplier invoices.

Record Invoice

1

Open Incoming Invoice

Section Incoming Invoice.

2

Upload Document

Drag & drop PDF/image into the upload mask; the AI recognition extracts supplier, number, date, amounts, and line items.

3

Assign Supplier

Known supplier is matched; for new suppliers, they are created directly.

4

Review Line Items

Check and correct recognized line items and tax rates.

5

Save

Document is posted and visible in the workflow for approval/tax advisor.

Counter-Invoice

You record a counter-invoice (credit note/supplier correction) as a negative line item type within the same document. The totals are automatically offset, and the document remains fully traceable.

Review & Forward

  • Approval — Four-eyes principle review before posting.
  • Tax Advisor — Hand over documents bundled to the firm.
  • Analytics — Analysis by supplier, account, period.
  • Suppliers — Master data and detailed view per supplier.

Supplier Subscriptions & Contracts

  • Under Subscriptions & Contracts, DivineMind detects recurring costs from incoming invoices and bank debits over the last 18 months — as soon as a supplier has billed in at least three months or the bank is connected.
  • At the top are monthly costs, active subscriptions, the next debit, and notice periods for the next 30 days.
  • Use "Edit notice period" to maintain notice periods in days, contract end dates, and status (e.g., cancelled or "no subscription"). A reminder appears 14 days before "cancel by"; price increases are flagged.
  • "Re-detect" searches receipts and bank transactions again for recurring costs.
TIP: Upload first, then type

Always run the recognition first. You will then only correct individual fields instead of manually entering everything.

IMPORTANT: Verify Document Before Approval

Automatic recognition is highly accurate but not infallible. Please verify the amount, tax rate, and supplier before approval.
