Construction site: Vehicles, equipment with inspection dates, orders, and on-site clock-in

In each construction site (Construction sites → Open construction site), there are tabs for "Equipment" and "Vehicles". You can find the equipment register with all inspection dates at Equipment.

  • Vehicles: Assign company vehicles from the fleet with a driver and time period to the construction site. A vehicle can only be assigned once in the same period. Enter mileage and damage upon return. The fleet overview shows which site the vehicle is on.
  • Equipment: Add excavators, plate compactors, cranes, etc. once in the equipment register, optionally linked to a fleet vehicle or fixed-asset register entry. Check out on-site with a single click: who took the equipment and when is recorded. If it is still on another site, it is moved and its return is automatically logged there.
  • Inspection dates: Inspection type and interval with legal references for your company's country (e.g. AT AM-VO § 8, DE DGUV Vorschrift 52, UK LOLER, US 29 CFR 1926.1412). The interval is a recommendation; risk assessments and manufacturer specifications prevail. A reminder is sent 30 days prior and on the due date. If an inspection is overdue, check-out displays a warning. Equipment that is locked out or returned defective can only be checked out again after a "passed" inspection.
  • Orders: Employees select the construction site during the purchase request in the AIRIS app. As soon as you approve or order under Purchase Requests, the items appear in the "Material" tab of the construction site (status "planned", with wholesale price if known). You can also assign the site retroactively there.
  • On-site clock-in: When saving the address, DivineMind determines the coordinates of the construction site (or you can apply your current position). With "Clock-in on this site only on site", clocking in is only possible within the configured radius—in the app, via the web time clock, and through AIRIS. Anyone assigned to multiple sites today is matched to the site they are currently standing on.

Construction site: Acceptance protocol, site diary for countersignature, subcontractor certificates

In each construction site you will find the "Acceptance" and "Site diary" tabs. Subcontractor certificates are managed under Construction sites → Subcontractors.

  • Acceptance protocol: "Create acceptance protocol" adopts open defects from the construction site; new defects are entered directly. Contractor and client sign on a tablet or phone. If the client does not sign, a reason is required. The protocol is generated as a PDF in your company layout, stored privately and cannot be deleted.
  • Statutory warranty: The defects liability period begins with acceptance. The default depends on the country of the construction site: Austria ABGB § 933 (3 years structure) or ÖNORM B 2110, Germany BGB § 634a (5 years structure) or VOB/B § 13 (4 years). Enter a contractually agreed period in months. 90 days before expiry, DivineMind reminds you of the defect inspection. If acceptance is refused, no period begins.
  • Site diary: Site management can update daily and then "Approve & lock". Afterwards, no one can change the text, not even the nightly run. Every change is logged in the history (who, when, why). The lock can only be removed by an owner or admin with a reason.
  • Countersignature: For an approved day, generate a link for the client (valid for 14 days, optionally via email). The client reviews the entry and signs, or enters an objection. You see the name, time, and signature in the site diary and receive a notification.
  • Subcontractor certificates: Store A1, insurance, trade license, etc., with expiry dates. Reminders are sent 30 days prior and on the expiration date. Austria: Check the HFU list (§ 67a ASVG) via the public social security query and enter the result with supporting document. If the subcontractor is not listed, DivineMind shows 20% for the ÖGK and 5% for the tax office before payment. Germany: Record the tax exemption certificate (§ 48b EStG) with validity. If missing, a notice reminds of 15% construction withholding tax.

Construction site: Link contracts and add missed hours

  • Contracts: In the "Budget vs. actual" tab of a construction site, select the quote or contract under "Contracts for this construction site" and tap "Link". Quotes for the site's client are listed at the top (★). Change orders are included automatically with their main contract.
  • This affects: the budget in budget vs. actual, the site retentions, and the contract selection in the daywork report. Use "Site measurement & billing" to directly open the contract's site measurement, progress invoices, and change orders.
  • Unlinking is only possible as long as no invoice exists for the contract — otherwise budget vs. actual and retention will no longer match.
  • Add missed working hours afterwards: On the "Hours" tab, site management enters missed hours for a site crew member — date, from–to, and a reason are mandatory. The entry is flagged as manual and is then included in budget vs. actual, the site diary, and the daywork proposal.

Construction site: Billing daywork reports, site measurement with calculation formula and photos

You can find daywork reports at every construction site in the "Daywork" tab. Open site measurements via Construction quotes → Quote → Site measurement.

  • Daywork report: "New daywork report" applies the daily hours from the construction site time tracking (breaks deducted). Open, over 16-hour, or already billed time clock entries are not applied and are displayed. You can add persons, activity, material, and daywork rate.
  • Confirmation: The client signs on the tablet or phone. Afterwards, the report is locked and stored privately as a PDF. Skipping signature is only possible with a reason.
  • Billing: "Create invoice" creates a draft invoice from hours × daywork rate and material. If you select an order, its terms apply: Reverse Charge for construction services, retention for cover, and early payment discount. Each time clock entry is billed only once.
  • Site measurement: In the calculation formula, write one line per item, e.g. "Wall axis A: 12.50 × 2.80" and "Deduction window: 2 × 1.01 × 2.135". DivineMind calculates each line and the total; the quantity is applied. You can save the building element/location and photos for each measurement.
  • Measurement sheet: "Measurement sheet (PDF)" prints all site measurements with calculation formulas, deductions, and totals per item in your company layout — as an attachment to progress or final invoices.
  • In the AIRIS app: Site management and foremen open the construction site and tap "Daywork". "Record daywork for today" imports the hours from time tracking; add the contract, description, and material, and the client signs on the phone. The report is then locked, the PDF is saved privately, and the office creates the invoice.

Construction site on mobile and 3D exports

  • Reporting in the AIRIS app: On the construction site, tap + to select an event, describe briefly or tap "Dictate" — the spoken text appears in the field and can be edited before sending. For "Problem", a photo is mandatory; the photo is stored privately.
  • Clock out with daily report: Anyone clocked into a construction site receives the "Daily report" sheet when clocking out. Enter or dictate text, enter your own hours (optional) — the report goes to the construction site diary, and time clock hours are added automatically by DivineMind. "Clock out without report" remains available.
  • 3D exports: The BIM model (.ifc) is only generated by the server, with real openings and properties — the floor plan must first be analysed and saved. The "3D preview (.glb)" is the browser view for viewers, not dimensionally accurate and not a BIM model.

Construction site: Defects and photos on the drawing, notice of delay

  • Plan & Pins: In the construction site, open the "Plan & Pins" tab and upload the drawing as a PDF or image (each PDF page becomes a sheet). Tapping on the drawing places a pin at that exact location — as a defect (with deadline, assignee, photos; also appears in the punch list), photo, task (goes to DivineTask), or note.
  • Filter: by type, status (open, overdue, resolved), trade, and assignee. Marking a pin as "Resolved" also closes the defect or task. "Move" relocates a pin to a new position.
  • New drawing revision: "New drawing revision" uploads the revised drawing. All pins (or only open ones) are carried over to the same position; the old revision is retained with its pins as history.
  • In the AIRIS app: Open the construction site, tap the drawing icon, tap the drawing — add a defect, photo, or note using the camera, mark pins as resolved, or submit a photo later.
  • Delay notices: If a delayed activity postpones the construction schedule, a draft is automatically created in the "Delay notices" tab — a notice of delay if subsequent work cannot start, otherwise a notice of schedule delay. The legal basis and deadline depend on your company's country (e.g. ÖNORM B 2110 Section 7, VOB/B § 6 Para. 1, JCT/NEC4, AIA A201, CCDC 2) and are shown with source and status; contractual provisions take precedence.
  • Review and adjust the text; for a notice of delay, confirm that the cause is not within your own area of risk, then click "View PDF" and "Send to client" (management). Before the deadline expires, DivineMind reminds owners, admins, and managers.

Client Portal and Notification Obligations

  • Client Portal: Construction site → "Client portal" tab → enter name and email, "Generate link". The client opens the link without logging in and sees construction progress, schedules and milestones, open defects, the 3D model, and only the photos you approve. Internal costs, budget vs. actual, and hourly rates are never visible to them. Visibility can be adjusted per link; "Block" revokes access immediately. In the AIRIS app: "Share client link" on site.
  • Digital change order approval: In the same tab, select an open change order and click "Submit to client" — the status is locked with a checksum. The client signs on mobile or tablet; acceptance follows the standard quote workflow with an order confirmation. Afterwards, the change order appears as approved in budget vs. actual, and owners, admins, and managers receive a notification. Rejection is possible with a statement of reasons.
  • Notification obligations: The "Notification obligations" tab checks before start of construction whether a construction site notification to BUAK (Austria, >5 working days, 1 week in advance) or a prior notification (Austria BauKG, Germany BaustellV, UK F10, Ontario Notice of Project) is required — with legal reference and status. Values are pre-filled from site, schedule, and site crew, and can be overwritten.
  • Pre-filling forms: The form is pre-filled (company, client, location, start, duration, workers, appointed contractors). "PDF for site notice" or "PDF completion guide" generates the document in company layout; "Fields as CSV" exports the values matching the portal's order. After submission, click "Mark as notified" with reference number and confirmation. Without an entry, DivineMind sends reminders 7 days before and on the deadline. Direct submission to BUAK requires BUAK portal credentials; until then, this serves as an uncertified completion aid.

Construction Planning Board — dispatch crews, equipment, and vehicles

  • Under Construction site → Planning board, your active and planned construction sites appear as rows, with weeks or months as columns. On the right are work crews, persons, equipment, and vehicles. Drag a card onto a construction site and day — suggested duration is through Friday of the same week. Dragging a bar to another site or day moves it. Without a mouse: tap a card or bar and select site, from, and to.
  • Work crews: "New crew" groups a fixed team together (name, colour, leader, members). Dragging a crew onto the board assigns every member to the construction site — same as the "Crew" tab of the site, including on-site clocking. Anyone already assigned there will not be duplicated. Assigned persons receive a notification in the app.
  • Conflicts are displayed before saving: absence (approved red, requested yellow), person assigned to another site simultaneously, double-booked equipment or vehicle, statutory equipment inspection or roadworthiness test overdue before assignment or due during the period, assignment outside construction period, and missing qualification. Red conflicts can only be saved via "Schedule anyway". Blocked equipment, equipment firmly scheduled for later, double-assigned vehicles, and drivers without valid qualification are not permitted.
  • Equipment: If a piece of equipment is already on another site, confirming moves it from the previous day or relocates it today (return there, check-out here). For equipment planned later, the site's "Equipment" tab shows "Planned (Planning board)" — "Check out" places it on site and verifies blocking status and inspection dates as with any check-out. Under Equipment master (Equipment & inspections), enter e.g. "Crane operator licence" under "Required qualification"; the planning board will then alert if no one in the site crew holds a valid certificate with that name.
  • Vehicles: The assignment also appears in the site's "Vehicles" tab and in Fleet. End already assigned vehicles there first (return with mileage and damage). The "Resources" view shows the same data per crew, person, equipment, and vehicle. Scheduling is permitted for owners, admins, and managers; all others have read access. The service dispatch board (technicians × hours) is accessible via the "Service board" button — both check absences and qualifications using the same logic.

Construction Site Offline (AIRIS App)

  • Working offline: In basements or bare shells, the AIRIS app saves site reports (with photo), defects, clocking in and out with the daily report, and daywork drafts on the phone. "n waiting for network" is shown at the top; as soon as the network is back, the app sends everything by itself in the correct order — with the time it was recorded.
  • Clocking without mobile signal: Time and location are captured the moment you tap. Upon syncing, DivineMind verifies the company's geofence rules just as it would online; outside the clock-in location, without location data, or in case of overlaps with already recorded time, nothing is silently posted — the entry appears as "not accepted" along with a reason and can be resent or discarded. Synced clock-ins are flagged as recorded offline in time tracking; entries older than 7 days must be entered by the office.
  • Duplicate protection: Each entry carries a unique key. If the response is lost in a dead zone and the app resends, the server will not create duplicates. If a daily log was modified elsewhere after being recorded offline, it is not overwritten, but displayed as a notice. Offline daywork report drafts pull their hours from time tracking upon syncing; obtaining signatures is available as soon as the draft is submitted.

Foreman speaks, AIRIS delivers

  • Construction site → "Voice message" tab (web) or "Voice message" in the AIRIS app on the construction site: Tap "Speak" and talk as you would to the site manager on the phone — progress, weather, defects, excess quantities, material. Add photos; text can be edited before evaluation.
  • "Evaluate": AIRIS creates one card per action — daily site report entry, defect (with matching photo), change order / claim for additional costs (MKF) against the BoQ (item, quantity, unit, unit price from BoQ), and purchase request with site. Nothing is created yet.
  • Review each card individually, edit if necessary, and "Confirm" (for change orders: "Create draft") or "Discard". Defects and change orders are confirmed by site management and the site foreman; the change order is created as a draft, pricing and sending to the client is done by the office. The purchase request goes to the boss for approval.
  • The card shows the notification notice for change orders in the site's country with citation and status (e.g. ÖNORM B 2110, VOB/B, NEC4, AIA A201) — this is not legal advice, the contract takes precedence.

DivineStudio — AI Videos from a Prompt

DivineStudio creates complete advertising and product videos from a single text description — choose the platform and format, AI handles the rest. The following video was entirely generated by DivineStudio from a single prompt:

Find New Customers in an Area

Enter a location and a radius, then select industries. The system searches for businesses in that area and compiles them into a results list. The search itself is free. Enrichment is only initiated for the businesses you select: this includes extracting website information, identifying contacts and creating a brief profile, and assessing the fit. Finally, you can transfer suitable businesses as leads to your CRM with a single click. Companies already present in your CRM will be recognized and skipped.

  • 1 · Search: Enter a location, select from the suggestions, define a radius from 0.1 to 200 km, and check industries (22 to choose from, covering HVAC, hospitality, legal, and more).
  • 2 · Review: The results list displays name, industry, address, phone, and website. Companies already in your CRM are marked.
  • 3 · Enrich: Only selected businesses (maximum 200 per run) are enriched, as each enriched company incurs a cost. Afterwards, you will see the fit score and conversation starters.
  • 4 · Transfer: Selected businesses are created as leads in your CRM, including address, contact details, and key contacts.
  • Previous search runs are saved and can be reopened at any time.

Data source: OpenStreetMap data (ODbL). Before any cold outreach, the system checks the regulations of the respective country and indicates if calls or emails are not permitted there.

Typical Workflows

  • Marketing Campaign: Plan in DivineMarketing, approve content, and publish via the calendar — based on your CRM data and brand voice.
  • Support Ticket: Requests arrive in Service & HVAC, are assigned, processed, and closed with a resolution status.
  • Share File: Store in DivineCloud and selectively share with read or edit permissions.
  • Build a template: design a document template in Template Builder — or upload a blank form (e.g., an insurance application) in Template-Studio, map the fields to CRM data, and send it pre-filled in the future.
  • Fill out form: in DivineCloud, select "Fill & sign..." for a PDF — fields are recognized, you type in the values, sign yourself (simple signature as an image), and save the result as a new file; the original remains unchanged. On mobile, only the note "Please edit on desktop" is displayed.
