Workflows & Automation

Execute processes based on rules — with approvals and oversight.

AIRIS executes tasks live — with chat approval

You tell AIRIS what to do and watch: AIRIS creates the contact, generates the offer from your template, and prepares the cover email. It's only sent when you tap 'Approve and send' in the chat — the same in the web and AIRIS app.

1

Task in one sentence

For example: 'Create the customer and prepare the offer from our template with a cover email.' A clear command like 'create' is executed without further inquiry. 'Prepare' remains a draft.

2

Watch

The 'AIRIS is working' strip shows the steps (Contact, Offer, Cover Email). On the web, AIRIS opens the relevant list and briefly highlights the new row. 'Stop' stops the task.

3

Change via follow-up command

'Make the offer valid for 14 days' — AIRIS adjusts it. An approval always applies to the last reviewed version; if the document changes afterward, it expires, and AIRIS presents a new card.

4

Approve and send

The card in the chat shows recipient, subject, amount, and attachment. Tapping 'Approve and send' executes immediately; 'Executed' only appears once sending is confirmed. 'No' declines, nothing is sent.

5

Reloading interrupts nothing

The task runs on the server. After a reload, tab, or device change, the strip reports 'Reconnected — nothing is lost'. The same command will not be executed a second time within 10 minutes.

IMPORTANT: Good to know

If you ask something ('How many invoices are open?'), you get the answer in the chat and, additionally on the web, the list with the appropriate filter. Employees without approval rights see 'waiting for owner or admin' on the card.

Mobile device commands, computer responds

Issue a command to AIRIS in the AIRIS app — via text or voice. If the same account is logged in on the same company on the computer, the computer follows along: It opens the relevant list, highlights the new entry, and displays the quote and approval card in the AIRIS window. No pairing, no codes — just your account.

1

Both devices logged in

Open DivineMind on your computer and the AIRIS app on your mobile device. The computer registers as active every few seconds. If multiple computers are open, only the most recently used one will respond.

2

Query or command from your mobile device

"How many invoices are open?" — the answer appears on your mobile device, and the computer opens the invoice list with the filter "open." A complete command ("Create the customer and prepare the quote with accompanying email") is processed on the computer as a status update: "AIRIS working · from mobile device."

3

Opened on the computer

Once the computer has opened the list, the app will display "Opened on the computer." The approval card appears on both devices.

4

Approve from your current location

Tap "Approve and send" on your mobile device — the card on the computer will briefly show "executed." The reverse is also true: what you initiate on the computer will be reflected on the mobile device with the response and card, marked as "from the computer."

5

Disconnecting

In the AIRIS window on the computer, the mobile device icon allows you to disconnect or connect the mobile device's control. When disconnected, commands will continue to be processed, but the computer will no longer respond to them.

IMPORTANT: Good to know

Only one computer will respond, and it must be one where you are logged in within the same company — never another user's screen. An approval applies to the exact version reviewed, regardless of which device you use to confirm.

Contact from photo, screenshot, signature, or PDF

Send AIRIS a photo of a business card, a screenshot (e.g., profile or imprint), an inserted email signature, or a PDF with a letterhead. AIRIS extracts the name, company, position, email, phone, website, address, and industry, and displays a card in the chat — the same on the web and in the AIRIS app.

1

Attach or insert

In the AIRIS chat, attach the photo, screenshot, or PDF (in the app, also directly with the camera) or insert the signature into the message. Add a phrase like "create as customer" or "mark as lead."

2

Review card

Each field shows its source ("from the photo," "from your phrase"). Missing information appears as a blank space and can be filled in directly on the card. If the contact already exists, AIRIS will inform you and offer "Link" or "Create anyway."

3

Lead or customer, then create

Select Lead or Customer and tap "Create Contact." If the phrase already contains a clear command like "create ... as customer," AIRIS will create it immediately — without asking. "Created" appears only when the contact is saved; on the web, the contact list jumps to the new entry.

4

Image only upon request

The image is only read for recognition. With "Attach image to record," AIRIS will also attach the business card as a document to the contact — otherwise, it will not.

IMPORTANT: Good to know

The same draft will never create two contacts: a second attempt will yield the same contact. Only sample data is permitted in demo companies (e.g., max@company.example).

Create Workflow

1

Open Automation

Section Automation — Dashboard with status and templates.

2

Create New Workflow

Define triggers (event/schedule) and actions via New Workflow.

3

Conditions & Steps

Assemble rules, branches, and actions.

4

Activate & Monitor

Activate workflow; track runs under Automation › Executions.

Control & Oversight

  • Templates for common processes.
  • Schedules for recurring execution.
  • Approvals — critical steps require confirmation.
  • Oversight & Statistics — complete traceability.

Starter Templates per Industry

Some industry menus open a ready-made template directly in the workflow editor. It is initially inactive — adjust texts and times, then activate it.

  • Hospitality: No-show workflow (reservation reminder) and reorder trigger (check order needs on Mondays).
  • Wholesale and Pharma: Recall workflow for a batch.
  • Retail: Return workflow. Construction: Change order workflow for additional costs.
  • Building Cleaning: On-site quality control — weekly inspection task, followed by a request for customer feedback.
  • Doctor's Office: Follow-up prescription reminder — patient reminder without health data in the email; issuance becomes a task for the practice team.
  • Tax Consultancy: Deadline reminder — client is reminded of missing documents; after five days, a follow-up task is created.
1

Save and activate

Save the template, then click "Activate now" → "Yes, activate". If your company's automation is still off, it will be turned on.

2

Run for a contact

In the workflow editor, click "Test": "Run workflow for a contact" opens. Search for the contact (name or email), click "Run now". AIRIS writes the email according to the workflow's objective.

3

Approve email

If approval mode is on, the email will first be found under Approvals. It will only be sent to the contact after you click "Approve"; the task is created immediately.

AIRIS Memory & Skills

AIRIS remembers notes, quotes, invoices, emails, and chat conversations for each customer. From this, AIRIS recognizes recurring procedures across multiple customers and suggests them as a Skill.

1

View Suggestion

Under Automation › AIRIS Skills: Trigger, each step, and the number of customers the procedure occurred for. New suggestions are indicated by the bell icon.

2

Confirm or Reject

Only your confirmation activates the Skill — it then runs as a workflow. Rejected suggestions will not reappear.

3

Monitor & Pause

AIRIS counts successful and failed runs; pausing is possible at any time.

  • Emails to customers within Skills are always sent only after your approval.
  • AIRIS responds from memory only using sources you are permitted to read — external mailboxes and private chats remain hidden.
  • Decide directly in the AIRIS chat: Ask "What skills have you identified for us?" — AIRIS responds with a card featuring the Adopt, Adjust, and Reject buttons. The result is immediately available on the card.
  • With 'Search for Procedures Now', you can initiate the recognition immediately; otherwise, AIRIS checks once per week.
IMPORTANT: Start with Approvals

Initially, run impactful actions via approvals. Increase autonomy only after the process has been tested (see 'Onboarding — Autonomy').
