Which office tasks does AI reliably handle today
Modern language models read and write text at a level sufficient for everyday office work. In addition, there are tools that allow AI not only to respond but to perform actions: enter an appointment, create a contact, record an invoice.
- Inbox: Sort emails by concern, summarize long threads, draft replies in your own tone.
- Appointments: Recognize appointment suggestions from emails and transfer them to the calendar, coordinate appointments, and send reminders.
- Receipts: Read incoming invoices (supplier, amount, tax, IBAN) and submit them for approval.
- Phone: Answer calls, capture the request, book appointments, and leave a note.
- Documents: Summarize contracts, minutes, and PDFs, and answer questions about them.
- Follow-up: Remind you when a quote is unanswered or an invoice is overdue.
Where to start best
Begin with a task that occurs daily, has clear rules, and where an error is easy to correct. The inbox and capturing incoming invoices are almost always good starting points because they are time-consuming and the result can be reviewed before submission.
Tasks where knowledge is only in people's heads or where each case is different are more difficult. AI helps there first as a preparer: it gathers the information, the human decides.
Why context is more important than the individual tool
A chat window where you copy and paste text saves little. The benefit arises when AI works where the data resides: in your inbox, calendar, customer records, and accounting. Then it can read a request, recognize the customer, suggest an appointment, and prepare the response without anyone switching between programs.
Who Does What?
AIRIS Prepares
- DivineMail: Sorts and summarizes emails, drafts replies, and transfers appointments from emails to the calendar.
- DivineFinance: Reads incoming invoices, creates e-invoices, dunning notices, and the DATEV export.
- DivineCall: Answers calls, captures the request, and books appointments.
- AIRIS: Assign tasks in your own words, via chat or voice, on the web and in the app.
You Decide
- Emails to customers, payments, and contracts should be approved by a human until you trust the AI for that specific task.
- AI can make mistakes, especially with numbers from poorly legible documents. Check amounts before making a transfer.
- Confidential information should only be handled by systems with a Data Processing Agreement and clear data management policies.
