Sort and Prioritize
Instead of a long list, you first see what needs a reply: customer inquiries, follow-ups on quotes, complaints. Newsletters and notifications are moved down. Custom categories, e.g., by customer or project, can be added.
Prepare Replies
Good AI for emails doesn't guess; it uses what's known about the sender: previous emails, open quotes, appointments. The draft is ready; you can edit or send it. Emails in foreign languages can be translated and replied to in the sender's language.
Tasks Completed from Emails
Many emails are actually tasks. AI can turn them directly into the next step:
- Appointment suggestion in email: read date, time, and location and add to your calendar.
- Invoice attached: read and record as an incoming invoice.
- New inquiry: create the sender as a contact and generate a task.
- Unanswered quote: reminder to follow up after a few days.
Who Does What?
AIRIS Prepares
- Sort, Summarize, Drafts: Each email is categorized and linked to the contact. Reply drafts are created in your tone.
- Appointment from Email: If an appointment is in the email, AIRIS reads it. After your review, a tap adds it to your calendar, without sending an invitation to the sender.
- Custom Folders, Also on Mobile: Your custom folders appear as a tree in the app's mail menu. Emails can be moved into them.
- Invoices from Your Inbox: Invoice attachments are read and recorded as incoming invoices.
You Decide
- Automatic moving of emails only with a clear rule. If in doubt, an email remains in the inbox so nothing disappears unnoticed.
- Send replies to customers only after review, until you trust the drafts.
- Connect confidential mailboxes only in systems with a data processing agreement.
