Cash register for gastronomy and retail: menu, table plan, checkout, receipt printing, RKSV (Austrian cash register regulation) fiscalisation, and daily closing. The cash register runs in the browser at pos.divinemind.ai/terminal, the back office at pos.divinemind.ai/business.
From zero to the first receipt
The shortest path from an empty account to the first processed order. Each step takes a few minutes; you do not need any additional device — a tablet or computer with a browser is sufficient.
1 · Account and Company
Register on divinemind.ai and enter the company details — address, tax number and bank details. This information will later appear on every receipt.
2 · Activate Cash Register
Under Settings → My Modules, select "Send Setup Email" for the cash register system. The first cash register is created, and the activation code is sent via email. The 749 € and 999 € packages include the cash register at no extra charge — for as many devices as you need.
3 · Create and Enable Items
Manage items as usual in DivineMind and enable them for the POS. A handful is sufficient to start — more can be added at any time.
4 · Activate POS Terminal
Create a POS terminal in the back office; you will receive an activation code. Enter this code on the device — the POS terminal is then permanently assigned to your company.
5 · Set Up Fiscalisation
Configure the signature unit and generate the Startbeleg (start receipt). A demo mode is available for practice, which generates identical receipts — but without legal effect.
6 · Process First Order
Log in employees with their PINs, tap items, and select the payment method. The receipt is signed and printed; the cash register automatically performs the daily closing at 05:00 local time, or you can trigger it manually if desired.
Set up cash register
Activate Cash Register
The cash register is included free of charge in the 749 € and 999 € packages, with no additional cost per register. Under Settings → My Modules, click "Send Setup Email" for the cash register system: The first cash register is created, and you will receive the activation code via email.
Select operating mode: Gastronomy or Retail
During setup, you choose one of the two operating modes under Settings: Gastronomy (with table plan) or Retail (without table plan). In the retail mode, the table plan is strictly disabled and the POS no longer accepts table orders — it operates purely as counter sales. Within gastronomy, you can also turn the table plan on or off individually, for example for a café with counter-only sales.
Create cash register
Create additional cash registers under Settings → My Modules → Cash Register System in "Manage Cash Registers" (e.g., Counter 2, Beer Garden). You can assign a branch if needed. Each new cash register receives an activation code in the format K7MF-P2XR; "New Code" replaces it, and the old code will no longer be valid.
Activate device
Open pos.divinemind.ai/terminal on the device, log in, and enter the activation code. After this, the device remains connected and regularly reports back as active.
Many items via CSV or Excel
Under Products → "New Product" → "File Import", select the item list (.csv or .xlsx). After the preview, import using the checkmark "Activate directly for POS": The items will be immediately available for sale at the POS and scannable via barcode. You can assign the POS category later in the Backoffice.
- There is no limit to the number of cash registers. A cash register you no longer need can be deactivated with "Deactivate" and reactivated with "Reactivate". Deactivating does not end a cash register according to RKSV — for that, use the closing receipt.
- The web-based cash register runs on any device with a browser — tablet, laptop, or POS PC. An app for Android POS devices (Sunmi) will be available with the next app update.
- Under Settings, you select the business type: Hospitality (with tables) or Retail (over-the-counter sales). This choice controls which functions appear on the cash register.
- The operating mode can be changed later. If you switch to retail, the table plan disappears from the POS; your areas and tables remain saved and are immediately available again after switching back to gastronomy.
Items for the Cash Register
There is exactly one item master, and it is located in DivineMind. What you maintain there, you sell at the cash register — with the same price, the same tax rate, and the same stock level. You do not create any items in the cash register itself.
Maintain items in DivineMind
As usual under Products: name, price, tax rate, item number, barcode, and stock. This information applies equally to quotes, invoices, and the cash register.
Approve for the cash register
Set the switch for the cash register on the item and select a cash register category. Only approved items appear on the sales buttons — your stock item for the workshop does not need to appear on the cash register.
Define cash register category
The category determines the tax rate if none is stored for the item, as well as the order of the buttons and the receipt printer: food to the kitchen, drinks to the bar.
Variants & Extras
Variants are versions of the same item (0.3 l / 0.5 l) with their own price or surcharge. Extras are added (extra cheese, fries instead of salad) — with a maximum quantity and, if necessary, as a mandatory selection. You maintain both in the cash register, as they only occur there.
- One stock for everything: If the cash register sells an item, the same stock decreases as with a delivery note. A cancellation books it back. Services — such as an hour of repair work — are not deducted.
- Price change in one place: The new price in DivineMind applies immediately at every cash register, without double maintenance.
- If no tax rate is stored for the item, the rate of the cash register category applies. For genuine zero-rate items, create a category with 0%.
- Remove items you no longer carry from the cash register or set them to inactive. Old receipts remain fully readable because each receipt records the name and price at the time of sale.
Rooms & Tables
This section applies to the gastronomy operating mode. In retail, there is no table plan — how the POS works there is described in the next section "POS in Retail".
- First, create areas — dining room, terrace, parlour. Then, add the tables for each area, including name, seats, and shape (round, square, rectangular).
- Position the tables in the table plan as they are arranged in the venue. The cash register displays the same plan so that your staff can easily recognise the tables.
- Occupied or vacant: A table is considered occupied as soon as there is an active order on it — the cash register displays the order number and current total. Tapping it opens the bill.
- A table with an active order cannot be deleted. Process the payment or cancel the order first, then remove it.
- For retail operations, disable the table plan in the settings; the cash register will then function purely for over-the-counter sales.
Designing Your Floor Plan
The floor plan is more than just a list of tables: it allows you to recreate your dining area exactly as it looks in real life. Your staff will easily recognize the space instead of having to memorize table numbers. You can find the floor plan in the back office under Restaurant → Tables, in the 'Layout' view.
Starting with a Template
Using 'Templates', you can set up the layout of a typical establishment—such as a restaurant, café/bistro, bar/pub, or patio—with a single click. The template includes walls, the bar, kitchen, restrooms, and the entrance. It only adds elements and will never delete anything you have already configured.
Setting Up the Room
Objects are organized into three groups: Building (wall, window, door, entrance, stairs, column, room divider), Service Areas (bar, counter, kitchen, restroom, storage, buffet), and Furnishings (plant, rug, sofa, fireplace, decor, label). Simply select an object and click on the floor plan to place it. For walls, windows, and rugs, drag them to your desired size instead.
Placing Tables
Newly created tables initially appear in the 'Unplaced' list. Drag them to their designated spot in the room. Use the blue handles to resize them, and use 'Rotate' to adjust their orientation in 15-degree increments.
Uploading Your Own Floor Plan
If you have a floor plan from an architect or a hand-drawn sketch, you can upload it under 'Floor Plan Image'. The image will appear faded in the background, allowing you to arrange your tables directly on top of it.
- Six table shapes: round, square, rectangular, oval, booth, and high top. You can select the shape when creating the table or change it at any time later.
- Each table is displayed with the exact number of chairs configured for it. This allows your staff to see at a glance whether a table is large enough for the party.
- The "Snap to Grid" option snaps objects into place so that walls and tables are perfectly aligned. You can disable this option for fine adjustments.
- The zoom ranges from 50 to 160 percent — which is highly useful for large rooms with many tables.
- Each area has its own floor plan. This means you can set up the dining room, patio, and side room one after another.
- Tables are deleted in the list view, not directly in the floor plan — the floor plan is only used to arrange them.
Grouping and Merging Tables
These are two actions that often occur together during service but mean different things — which is why the POS system keeps them separate. "Grouping" refers to the physical furniture, while "merging" refers to the bills.
Grouping tables (the furniture)
If a large party arrives, you can push several tables together in your venue to form a single joined table. On the POS, tap "Group tables", select the tables involved, and confirm. In the floor plan, they will then be enclosed by a border showing the name and total number of seats — allowing everyone to see at a glance which tables are grouped together. Simply tap an existing joined table to separate them again.
Merging tables (bills)
If guests change tables or move together, tap "Merge tables", select the table with the open order first, and then the target table. The POS will ask whether to combine them into a single bill or keep the order tickets separate.
- A joined table setup is often arranged before the party even arrives. Therefore, grouping tables does not require an open order—it simply describes how the tables are physically arranged.
- A joined table setup can only include tables from the same area. For example, tables from the dining room and the terrace cannot be grouped together.
- Disbanding a joined table setup does not affect any bills. Open order tickets remain exactly where they are.
- When merging, only unpaid orders are transferred. Already signed receipts remain untouched—a receipt remains a receipt.
Permissions: Waiters, Areas, Shift Handover
In larger establishments, multiple staff members often work at the same POS simultaneously. To prevent anyone from accidentally booking items to another waiter's table or settling someone else's bill, each table is assigned to the waiter who opened it.
Assigning areas
In the back office under Staff, you can assign specific areas to each team member—such as the terrace for one and the dining room for another. Staff members without an assignment are permitted to work in all areas. The assignment takes effect as soon as a table is opened.
Allow or restrict ordering on other tables
In the settings, you can define whether colleagues are allowed to add items to another server's table. By default, this is enabled—during the lunch rush, every helping hand counts. If you prefer stricter control, you can disable this option.
Hand over shift
At the end of your shift, open the floor plan and tap "Shift Handover". Select the colleague who is taking over—all your open tables will transfer to them at once. They will then become the primary user and can settle the bills.
- Only the primary user of the table is authorized to process payments. This is either the server who opened the table or the person to whom it was handed over.
- Owners and managers have full access: they can add items to any table, process payments, and perform shift handovers on behalf of others.
- The assigned server is displayed on the table in the floor plan. You can also disable this display under "Show on tables".
- These restrictions do not apply in the Back Office—this area is used by management, not the service staff.
Kitchen Display Screen
Instead of paper order tickets, the kitchen staff can view orders on a screen. You can open it in the menu under "Kitchen Display Screen"—ideally on a device permanently installed in the kitchen. The screen updates automatically every few seconds.
Reading the ticket
Each open order is displayed as a card: table name or 'Bar', whether dine-in or take-away, and all items including quantities, variants, extras, and the guest's special requests.
Toggle item status
Tap an item when you start preparing it — its status changes to 'In Progress'. Tapping it a second time sets it to 'Done'. The status of the entire order updates automatically.
Complete the entire ticket
If everything is ready at the same time, simply click 'Order Ready' — the card will disappear from the screen.
- The waiting time is displayed on each card and color-codes it: yellow after ten minutes, red after twenty. This allows the kitchen management to see at a glance which ticket has been waiting too long.
- The kitchen display screen does not replace receipt printers, but rather complements them. You can run both in parallel.
- This menu entry only appears in hospitality mode.
Dine-In or Take-Away
Take-away food is taxed differently than dine-in food. On the POS screen, you can easily toggle between "Dine-in" and "Take-away" at the top of the ordering panel. The system will then automatically calculate the receipt using the correct tax rate.
Set rate on the category
For every POS category, you will find a "Take-away VAT rate" field next to the standard tax rate. If you leave this field blank, take-away items will be taxed at the same rate as dine-in items.
Custom rates for individual items
If an individual item requires a different rate than its assigned category, you can set it directly on the item itself. The item-specific rate takes precedence over the category rate, which in turn takes precedence over the standard dine-in rate.
Toggling during checkout
If a customer calls to place a take-away order, simply toggle the switch to "Take-away" before entering the items. All items on the receipt will then be calculated using the take-away rate, including any items added later.
Since 2026, the reduced tax rate has applied to food in Germany, both for dine-in and take-away. The distinction remains primarily for beverages. Additionally, there are special cases in both directions: tap water and certain mixed milk drinks qualify for the reduced rate when taken away, whereas lobster, oysters, and snails are subject to the full tax rate even for take-away. We recommend reviewing your menu items with your tax advisor once and then configuring the rates accordingly. The POS system will reliably calculate taxes based on your inputs, but it cannot automatically classify these items for you.
Hospitality Inventory: Kegs, crates, and packs in, portions out
You purchase beer by the keg and sell it by the glass. To ensure your inventory remains accurate, you only need to specify once how much of a purchasing item is consumed by a sales item — after that, the POS system calculates everything automatically.
Define consumption
For the POS item, you enter which inventory item is consumed and in what quantity — for example, 'Beer 0.3 l' consumes 0.3 liters of keg beer. A sales item can also consist of multiple ingredients.
Create packaging units
For each inventory item, you define your packaging units: e.g., 50 l keg, 30 l keg, or crate of 24. Mark one of these as the default — the remaining stock will be measured against this unit.
Post incoming goods
When a delivery arrives, you post it using the packaging units: e.g., '2 × 30 l keg'. The POS system automatically converts this into the base unit and credits 60 liters. Alternatively, you can post the base unit directly.
View remaining stock
The stock level is displayed in both the base unit and the packaging units: e.g., '32.5 l ≈ 0.65 kegs'. The approximation symbol is used intentionally — an opened keg is an estimate, not an exact figure.
- Not every sales item requires a corresponding purchasing item. For example, a glass of tap water for €0.50 has no consumption and no inventory link — nothing is deducted, and no errors will occur.
- Multiple items of the same inventory product on a single order ticket — such as a 0.3L and a 0.5L draft beer from the same keg — result in a single inventory deduction instead of multiple small postings.
- When processing a void, the POS system will prompt you: Should the item be returned to inventory, or was the beer already poured? The inventory consumption is only reversed if you select 'return to inventory'.
- If you remove an item from an unpaid order after it has already been served, the consumption is still recorded so that shrinkage remains visible.
- Services are never deducted from inventory. For example, an hour of labor in a workshop does not have stock levels.
Partial Voids
Sometimes only part of an order needs to be reversed — such as an incorrect dish or a spilled drink. In these cases, you can void individual items instead of the entire receipt. You can find this option in the Back Office under Orders.
- Select the items and, if there are multiple quantities, specify how many units are being returned. Selecting a reason is mandatory, and it will be printed on the receipt.
- For each item, specify whether it should be returned to inventory or marked as consumed. This determines whether your stock levels will be replenished.
- If the order has already been paid, a separate, signed void receipt is generated. The original receipt remains fully intact — nothing is deleted.
- The remaining balance is recalculated. If you eventually void all items, the order status changes to refunded, and the revenue is reset to zero.
POS in Retail
In retail, wholesale, and workshops, orders are not taken at the table, but payments are processed at the counter. The retail operating mode is designed for this: the table plan is disabled, the POS immediately opens an empty receipt, and you record the goods via barcode instead of sales buttons. Everything else — prices, tax, fiscalisation, receipt printing, and daily closing — works exactly as in gastronomy.
Set operating mode to retail
Select the retail operating mode in the settings. This strictly disables the table plan: the POS no longer displays tables and rejects orders assigned to a table. Only the active receipt at the counter remains.
Maintain items with barcodes
Save the barcode (EAN) and item number on the item in DivineMind and enable the item for the POS. Without a barcode, sales still work via search and sales buttons.
Scan instead of type
Scan the barcode with a handheld scanner — the item is added directly to the receipt; a second scan increases the quantity. The cash register immediately reports unknown codes instead of silently ignoring them.
Process payment and deduct stock
Select payment method, print receipt, done. With the payment, the same stock level decreases as with a delivery note — you see the stock reduction directly in the warehouse, without a second booking.
- No table plan, no kitchen receipts: In the retail operating mode, tables, areas, and the kitchen display are omitted. Receipt printers and receipt printing remain unchanged.
- In retail, POS categories serve as product groups — they control the tax rate and the order of the sales buttons for goods without a barcode (fruit, items sold by weight, services).
- Returns and exchanges are processed via the QR code on the receipt: The cash register generates its own signed return receipt, the original receipt is retained, and the returned goods are moved to blocked stock.
- In workshops and car dealerships, you can mix parts and labor on a single receipt. Parts are deducted from inventory, while services such as an hour of labor are not.
- In wholesale, you use the POS to process cash and carry sales; classic orders on account continue to run via delivery notes and invoices in DivineMind.
Checkout
Log in with PIN
Each staff member logs in with their own PIN (4 to 8 digits). This ensures that each order is assigned to a specific person. You assign PINs in the Backoffice under Personnel.
Enter order
Select table, filter or search category, tap item, confirm variants and extras, add quantity and note (e.g. no onions). Alternatively, you can scan items with a barcode — they go directly onto the receipt.
Send to kitchen and bar
When sent, the order is saved and automatically distributed to the relevant printers. If an order is already active at the table, the cash register asks whether you want to append to it or open a second bill.
Payment
Select payment method: cash or card. The guest pays by card at your own card terminal, and the cash register books the amount — there is no direct terminal integration. For cash payments, enter the amount received via the number pad or quick amounts; the change is displayed. After payment, the table is free again.
- Split receipt: You can split the amount among multiple people or select individual items and process them separately. Both bills are recalculated and closed individually.
- Discount: Before payment, an amount in Euros can be deducted. The tax is reduced proportionally, and the receipt remains correct.
- Tips are recorded separately from revenue. They are not included in the tax assessment and do not distort the reporting.
- Prices and tax are calculated by the server, not the device. Two cash registers will therefore always arrive at the same total, even with variants, extras, and discounts.
- Cancellation: An order can be cancelled with a reason. If it has already been paid, a refund is created — the original receipt is retained.
- You determine which payment methods are offered in the settings; at least one must remain active.
- Kitchen display: Open orders appear on a dedicated screen. The kitchen sets each item from "in progress" to "completed", and the status of the order updates automatically.
Receipts & Printers
Create printer
Under Printers, you enter each device: name, type (receipt, kitchen, bar or built-in printer) and connection (network with IP and port, USB, Bluetooth). Set the paper width to match the roll.
Perform test print
A test print immediately checks whether the printer is reachable — before the first guest sits at the table.
Assign categories
In print routing, you assign the categories that each printer should output: food to the kitchen, drinks to the bar. A mixed order is thereby automatically split.
Print receipt
After payment, the customer receipt is printed: items including extras and notes, tax breakdown per rate, payment method, server, and the machine-readable fiscalisation code as QR.
- Print jobs run via a queue. If a printer is currently unavailable, the job is retried multiple times instead of being discarded.
- You can reprint a receipt at any time or send it to the guest by email; additionally, it can be opened on the screen.
- You enter the footer of the receipt (thank you note, opening hours, notice) once in the settings.
RKSV (Austrian Cash Register Regulation) & Fiscalisation
Register POS Terminal
In the back office, you enter the credentials of your signature unit — user, password, and participant ID. The system assigns a cash register identification number and stores the credentials in encrypted form. You can test them immediately using "Test Connection".
Create Startbeleg (Start Receipt)
Before the first real transaction, you generate the Startbeleg (start receipt). It opens the signature chain and is issued exactly once per POS terminal. Please keep it safe.
Ongoing Operation
Every paid receipt is immediately signed and appended to the chain. The turnover counter runs encrypted, and the machine-readable code is provided as a QR code on the receipt. You can check the chain yourself under Cash Register by clicking "Check Chain".
- Failure regulation: If the signature unit is not reachable, the payment will still be completed and the receipt will be marked as a failure receipt. When the signature unit is available again, a collective receipt will complete the failure — the chain remains closed.
- Cancellations are signed as a separate receipt type; the sales counter is offset accordingly.
- DEP-Export (data log export): For the tax authority, you export the complete Datenerfassungsprotokoll (data log) — all receipts of the POS terminal in the prescribed structure, as a file for submission.
- Demo mode: For training and demonstration, the POS terminal operates with a simulated signature but an identical receipt structure. This allows you to practice the entire process without generating real receipts. For live operation, you then create a configuration with your actual credentials.
Each POS terminal maintains exactly one signature chain, and the Startbeleg (start receipt) is only issued once. If you replace a device, you set up a new POS terminal with its own Startbeleg — the old one remains intact with all its receipts and is not deleted.
Continue working offline
- The cash register in the browser continues to process transactions when the internet connection fails: Orders, additional entries, discounts, payments, and cancellations are saved on the device.
- Receipt printing via the built-in printer continues to work offline — the guest receives their receipt.
- As soon as the connection is restored, the queue is transmitted in the original order. An order created offline and all subsequent bookings on it belong together and are transferred together.
- The transmission runs automatically and is repeated regularly; failed transactions are retried instead of being lost.
- Receipts generated offline will be transferred without double booking when submitted later and signed with the actual sales time.
- The cash register displays how many transactions are still waiting for transmission. Do not turn off a device until the queue is empty.
Daily Closing & Reports
Daily Closing: Automatic or Manual
The cash register automatically performs the daily closing at the end of the business day at 05:00 local time. You can also trigger it manually in the Backoffice. It includes all paid orders since the last closing and receives a sequential Z-number; you can close individual cash registers separately if desired.
Read Z-Bon (daily closing receipt)
The Z-receipt shows total revenue, included tax, number of receipts, sums per payment method (e.g., cash and card), and the breakdown per tax rate — this serves as the basis for cash reconciliation and accounting.
Analyze
The reports show revenue, average receipt value, daily revenue, and the best-selling items for a freely selectable period — useful for staff planning and menu maintenance.
- If there are no paid orders during the period, no closing is generated — no empty Z-Bons (daily closing receipts) are created.
- Tips are shown separately and are not part of the revenue.
Set up the menu, tables, and printers, and run through a complete day in demo mode — including receipt printing and daily closing. Only after this should you enter the real credentials and generate the Startbeleg (start receipt).
