How it Works

  1. 1

Enter the allocable costs for the year, i.e., the sum of all items you are permitted to distribute.

  2. 2

Select the distribution key: area, persons, or equal shares per unit.

  3. 3

Record each unit with its area, number of persons, and advance payments made.

  4. 4

The table shows the share, costs, and additional payment or credit for each unit.

How to distribute

Cost share of a unit = Total costs × (Unit value ÷ Sum of all values). For the area key, the value is the usable area; for persons, it is the number of residents; for units, each apartment counts equally.

Result = Cost share minus advance payments. A positive amount is an additional payment, a negative amount is a credit.

Which key applies?

The applicable key is determined by law and the rental agreement. In Austria, for operating costs within the full scope of the MRG, the usable area is generally decisive. In Germany, without an agreement, it is also the living area (§ 556a BGB). Heating costs in both countries are largely settled based on consumption (HeizKG, HeizkostenV); this calculator is not intended for that.

The calculator shows the calculation process. You or your legal counsel decide whether an item is allocable and which key applies.

Vacancy

If a unit is vacant, the owner is usually responsible for its share. Therefore, record the vacant unit with its area and without advance payment, instead of omitting it. Otherwise, the shares of all others will increase.

Frequently Asked Questions

How do I calculate operating costs per square meter?

Divide the total costs by the sum of all usable areas. With €12,000 and 800 m², that is €15 per m² per year, or €1.25 per m² per month.

What happens with a change of tenant during the year?

The costs for the unit are allocated proportionally between the old and new tenant, usually by days. Calculate the unit's share and then divide it.

Does the calculator replace an operating cost statement?

No. It shows the distribution. A statement also requires a breakdown of costs per item, deadlines, and access to receipts.

Are my entries saved?

No. The calculator runs entirely in your browser.
