Your customers can view their own documents in the AIRIS app and place orders directly with you. Included free of charge.
What the customer receives
- Their orders, invoices (with payment status), and delivery notes — only their own, never those of another customer.
- Their deposit account: how many crates and bottles they still have on hand.
- Contracts and documents that you share with them; they can also submit documents themselves.
- Ordering from you: Your catalog at THEIR prices, shopping cart, delivery point selection — the order immediately lands as an order in your CRM.
- Manage their own contact details (phone, mobile, email). Master data remains with you.
How to grant access (2 steps)
- 1. On the customer record: CRM → Open contact → Menu item 'Customer Access' → 'Invite to AIRIS Customer Area'. You will receive an invitation link to send to the customer.
- 2. The first time, AIRIS will ask whether customer access should be enabled for your company — confirm once, and this will apply to all customers.
- The customer opens the link, logs in with their own AIRIS account, and is linked. From then on, they can view their folder.
- Revoke access: Settings → Company Profile → Customer Access List.
TIP: Customer or employee? Two different access types
Do not look under employees: Employees receive company access (customer number + PIN) and can view the company. Customers receive their access via the contact record in the CRM and can only view their own documents.
When your customer places an order
- The order immediately generates an accepted order with an order confirmation number — the same workflow as an order placed via the back office.
- Prices are always calculated by the server based on your price list for this specific customer. The customer cannot modify what they see in the app.
- The delivery point, requested date, and customer notes are included in the document — right where the warehouse staff looks when picking.
- If the customer has multiple branches, they can select the appropriate one when ordering. For events, they can specify a one-time alternative delivery address.
- You can find the order under Orders; it is assigned to the business owner and visible to everyone in the team view.
Property Management: Tenants, Owners, and Tradespeople in the Customer Folder
- Tenants, owners, and tradespeople do not receive separate access, but precisely this Customer Folder. They log in with email and password in the AIRIS app or in the browser at airis.divinemind.ai.
- To invite: Property Management → Tenancy → "Parties" tab, Property → Ownership or Orders → Service Provider → expand "Customer Folder" → "Invite to AIRIS Customer Area". There you can also see if access is active and revoke it. For a service provider, you first link their contact from the CRM.
- What the person sees is determined by the tenancy agreement, ownership share, or order each time they access it: Tenants see their account, payment demands, and statements; owners see house money, economic plan, statements, reserve, invitations, minutes, and the collection of resolutions; tradespeople only see their own orders. If the tenancy agreement or ownership ends, the view also ends.
- What comes from the folder – damage reports with photos, meter readings, messages, proposed appointments, reports, and invoices from tradespeople – can be found under Property Management → My Properties Today in the "From the Customer Folder" block. "Accept" creates the damage report, meter reading, or appointment via the usual channels; "Decline" requires a reason, which the person will see.
- Votes on circular resolutions count immediately and are reflected in the respective circular with the channel "Circular in the Portal"; a second submission changes nothing.
- Legally valid delivery via the Customer Folder is only possible if the delivery method "Portal" with consent is entered for the ownership share or party (Austria: the owner has requested it). Otherwise, it remains by post or email; the folder then shows a copy.
TIP: Revocation takes immediate effect
A revoked access blocks the Customer Folder for this management on the next access. Already opened download links expire after one hour at the latest.
Security
- Customers can only view documents associated with their own contact record — verified with every single request, never based on data sent by the app.
- Drafts remain hidden. Only sent, paid, overdue, or canceled invoices are displayed.
- If a customer updates their contact details, the change is logged in your system — showing both the old and new values.
